How Prebrief handles your data

Prebrief holds sensitive information — your account, what you type into our tools, and documents about your child. This page explains what we collect, what we do with it, and what we never do. Plain language, no dark patterns.

The short version

  • Documents you upload are deleted automatically 7 days after you upload them.
  • Prebrief uses passwordless sign-in — there is no password for anyone to steal.
  • We never sell your data, and we never run advertising or behavioural tracking.
  • Your content is not used to train AI models — not by us, not by our AI provider.
  • You can see, correct, export, or delete your information at any time.

What this policy covers

This policy applies to the Prebrief website at prebrief.help and the Prebrief web app, both operated by The Human Frequency Inc. It does not cover other websites we link to — when you follow a link off Prebrief, that site's own privacy policy applies.

Who we are

Prebrief is a product of The Human Frequency Inc., a company based in Sherwood Park, Alberta, Canada. Where this policy says "we" or "Prebrief," that is who you are dealing with. Our contact details are at the bottom of the page.

What we collect

We collect only what we need to run the service, and only when you give it to us.

  • Your account — your email address. Prebrief uses passwordless sign-in: when you log in, we email you a one-time link. There is no password, so there is nothing for us to store or for anyone to steal.
  • What you enter into a workflow — the meeting details, situations, and questions you type into Prebrief's prep tools, along with the results we generate. These are saved to your account history so you can return to them.
  • Documents you upload — if you upload a file such as an IEP, an IPP, a school email, or an assessment, we store it so the workflow can use it. Uploaded files are deleted automatically 7 days after upload.
  • Payment and purchase records — when you buy the toolkit or subscribe to Co-Pilot, your card is processed by Stripe. We never see or store your full card number. We keep a record of what you bought and your subscription status.
  • Messages you send us — if you email us for support, we keep that correspondence so we can help.

Please don't send us more sensitive information than the service actually needs.

How we use your information

We use your information to do the things you came to Prebrief for, and nothing else:

  • To create your account and sign you in.
  • To run the workflows you ask for and save your results to your history.
  • To process your purchase or subscription and send receipts.
  • To answer you when you contact us.
  • To keep the service secure and working, and to meet our legal obligations.

We rely on your consent and on the need to deliver a service you asked for. We do not use your information for advertising, and we do not make automated decisions about you — the AI drafts content for you; it does not judge or score you.

Your child's information

Prebrief exists to help with your child's school meetings, so the documents and details you share will often contain your child's personal information — including sensitive information about their disability, health, or education.

We treat that information with care:

  • It is encrypted in transit and at rest.
  • Uploaded documents are deleted automatically after 7 days.
  • Access is limited to what is needed to operate the service.
  • We never sell it, share it for marketing, or use it to train AI models.

By uploading documents about your child, you confirm that you are their parent or legal guardian, or are otherwise authorized to share that information.

AI and your content

Prebrief's Co-Pilot workflows use AI to turn your input into scripts, letters, and prepared responses. To do that, the text and documents you submit are sent to our AI provider, Anthropic, which processes them and returns a result.

Two things matter here:

  • Your content is sent to Anthropic only to generate your result. It is not used to train AI models.
  • AI can get things wrong. Always read what Prebrief produces before you rely on it — see our Terms of Service.

Who we share information with

We do not sell your data, and we do not share it for anyone's marketing. We rely on a small set of trusted providers to run the service, each processing data on our behalf under its own security and privacy commitments:

  • Supabase — account sign-in, database, and file storage. Your account data and uploads are stored in a Canadian data region.
  • Anthropic — the AI that powers Co-Pilot workflows; content is processed in the United States.
  • Stripe — payment processing for purchases and subscriptions.
  • Resend — sending service email such as sign-in links, receipts, and account notices.
  • Beehiiv — sending our optional email newsletter, if you choose to subscribe.

We may also disclose information where the law genuinely requires it — and we will push back on requests that overreach.

Where your data lives

Your account information and uploaded files are stored with Supabase in a Canadian data region. AI processing happens with Anthropic in the United States, and payment processing through Stripe also involves the United States. That means some of your information crosses the border. Canadian privacy law permits this as long as we tell you — so we are telling you.

How long we keep things

We keep information only as long as it is useful or legally required:

  • Uploaded documents — deleted automatically 7 days after upload.
  • Account details and workflow history — kept while your account is open. When you delete your account, we delete them.
  • Purchase and payment records — kept for as long as tax and business-records law requires, even after you close your account.
  • Support emails — kept while they are relevant to helping you, then cleared out periodically.

Email from us

There are two kinds of email we might send:

  • Service email — sign-in links, receipts, and notices about your account. You get these because you have an account or made a purchase; they are part of the service.
  • The newsletter — an optional email list you can join. We send it roughly twice a month at most, and every issue has a one-click unsubscribe. We will never add you to it without you asking.

We never sell or rent your email address to anyone.

Cookies

Prebrief uses a small number of essential cookies — the ones that keep you signed in and your session secure. We don't use advertising or cross-site tracking cookies. During checkout, Stripe may set its own cookies on its payment pages; those are governed by Stripe's privacy policy.

Keeping your information safe

We use encryption in transit and at rest, passwordless sign-in, access controls, and the 7-day deletion of uploads to limit how much sensitive information exists at any moment. No system is perfectly secure, but Prebrief is built to hold as little as possible, for as short a time as possible.

If something goes wrong

If there is ever a security breach that could put your information at real risk, we will tell you and notify the relevant privacy regulator, as Canadian and Alberta law require. We will be straight with you about what happened and what to do about it.

Your rights

You can ask us at any time to:

  • See what information we hold about you.
  • Correct anything that is wrong.
  • Export a copy of your information.
  • Delete your account and the data tied to it.
  • Withdraw consent for anything you previously opted into.
  • Unsubscribe from the newsletter — every issue has a one-click unsubscribe.

Email us using the details below and we will respond within 30 days, usually much sooner. Under Canada's PIPEDA and Alberta's Personal Information Protection Act, you also have the right to complain to the Office of the Privacy Commissioner if you are not satisfied with how we have handled your information.

Children using Prebrief

Prebrief is built for adults — parents and caregivers. It is not directed at children, and we do not knowingly allow anyone under 18 to create an account. If you believe a child has created an account, contact us and we will remove it.

Changes to this policy

If we change this policy in a way that matters, we will update the date at the top of the page and, where it is appropriate, let account holders know by email.
